Job Analysis

In every organization, the structure, tasks and roles and responsibilities keep on changing and with the passage of time, sometimes existing jobs are subjected to change or new opportunities are also created. In such situations, it becomes mandatory to conduct an analysis of the new jobs or revise the old ones in order to ensure appropriate evaluation. So basically, job analysis is a very important process through which the content of a job is identified, which revolves around the job activities and the skill set required to perform those activities and tasks. It is defined as the procedure of collecting data about various duties, responsibilities, required skills, results and the environment of a specific job.

Steps Involved in Job Analysis

Job Analysis is conducted in a series of steps and the entire process begins with a 'Request for Job Analysis' by the team lead or supervisor to the head of concerned department. This request contains an outline of the main roles and responsibilities of the new job or major revisions in the existing one. The second step involves a detailed review of the request by Department head in order to ensure the need, and once approved, it is forwarded to the head of Human resource department. When HR department receives the approved job analysis request, it ensures that the job is in accordance with the organizational chart. The next step taken by human resource department is the conduction of a job analysis interview and compilation of necessary information on a form of job analysis.

There are a few important things which should be considered while conducting the job analysis and to complete the job analysis form.

The data which is collected and documented must be related to the job.

Clear duties and responsibilities should be stated that refer to job and the stated requirements must support best performance of the stated duties and tasks.

The job facts must be verified for their accuracy.

An in depth analysis of every duty must be done in order to make sure that it is vital for the organization and it will add value to the operations

Jobs which have similar tasks and require similar set of skills must be categorized under one designation so the uniformity is provided along with flexibility.

The job analysis form should be comprised of self-explanatory directions.

The first step to begin with is to review the information and data which explains the work done on the job. The kind of information or materials that could be helpful in this step may include:
