Dear Joe,

Thank you for bringing these complaints to my attention. I am aware that this account is very important to ABC Consulting and our company takes it very serious if anything bothers its client. I am sorry for any inconvenience this may have caused you. I will make this as a top priority and make sure this get taken care of as soon as possible.

Let me assure you that I have a hard-working, committed team in this office and I ensure you they are doing everything in a professional and appropriate manner. However, apparently there has been some misunderstanding which needs to be addressed. You are right in your concerns; unfortunately, the client has not been exact about the magnitude of the situation.

As per your instructions, I have already moved to rectify the situation and scheduled a meeting with my team members Monday morning. The agenda of the meeting will revolve around three key issues you have raised concern about in your email. Please let me inform you the precise nature of the issue.

Tardiness: My team is on time which can be checked from the daily log book maintained at the workplace. However, sometimes, there can be unforeseen events like unusual traffic jams or any personal family issues which can keep the employee reaching to office on time. In these cases, employee immediately inform me well before time. Moreover, in these instances, if he/she does not put in 40 hours that week; he/she takes personal time or make-up the hours at a later date. This shows the dedication of the team members towards the work. However, in our meeting, I will emphasize on this issue and ask the team members to always keep a time cushion in cases of traffic jams which will allow them to still reach on time. Hopefully, it would not bother the client again.

Breaks: Like I mentioned, my team is really working hard which can be assessed by the fact that we have accomplish all deadlines for the client and confidently, will continue to achieve all future deadlines too. To reward their painstaking efforts throughout the week, I take them out to Star bucks for coffee break on Friday. This allows keeping them motivated. These trips also help us bond as a team which is vital for the success of the project since it will be reflected in our work. At the same time, you will be glad to know that these coffee breaks will be offset with the lunch timings which allow having completed the work hours even on Friday. However, in the upcoming meeting, I will communicate to the employees daily visits to Star bucks are not allowed except for Friday. I am sure this also would not bother the client.

Attire: As you are well aware that we are not meeting with clients on daily basis, I have allowed Casual business attire as I have observed that employees feel comfortable and become more productive in their ...
