Module 7: Use IT effectively to exchange Information
E-mail messages are low cost, fast and highly reliable medium of communication which makes use of the internet and local networks. Senders and recipients communicate through this medium and may send files or folders through it as well.
Files may be attached to emails through an option that is provided by the mail server. The files can be accompanied by a message and sent to the intended recipient(s).
Using a suite such as Microsoft Outlook Express enables you to download your mails automatically and manually as well. The “send/Receive” option serves this purpose through which the outgoing mail is sent and incoming mail is received.
Contacts may be added in the address book and used whenever you are entering the recipients names. The address book can be accessed manually as well so that groups of people can be added or any recipient's name may be entered in the recipient's list and the address will appear automatically.
Emails with attachments are downloaded and stored in the inbox. The files are in the temporary folder of the computer. The method of downloading is selecting the file and saving it at any location on your computer.
Contacts can be added to groups and stored in the address book. Then, to send an email to a whole group, only the group name can be selected and all the contacts in it will receive the sent email.
Email messages may be intercepted, which is a breach of privacy. The servers which are used may intercept these messages if an authorized person wishes. In addition, depending upon the privacy policy, mails can be leaked as well by hackers and other people engaged in the ill use of the internet.
