The data is organized so that it becomes easy for a user to search and find the required information in the system. A data base consists of logically related files that are organized to gain access to more than one application programs. Many organizations use databases to organize and maintain their data. They don't use one database but use various databases. Individual at college levels also use various databases in their course work and to maintain their data.

The various databases used are Microsoft word, PowerPoint and excel. These databases are commonly used by students at college and university level.student5s uses these in their course work and assignments for presentation of their data.

Microsoft word is a widely used non free word processor used by organizations and students all over the world. Microsoft was first released in 1983 which was used for xenix system. After wards, many versions were developed for various computer systems such as IBM, DOS, APPLE and Microsoft Windows. It is a significant part of the Microsoft office system and is sold as standalone product. Currently, the latest versions that are used are Microsoft word 2010 and Microsoft word 2011. (OECD ,2005,pp.n.d).

Advantages of Microsoft word

Microsoft word provides the user with various advantages that are discussed below

The word document looks like a printed version. The user can save time in defining the appearance and the structure of the hard copy. With the help of the options available at word, we can view and change all the hidden files and can format according to their desire.

Another advantage of using word is that it is available everywhere. Word is installed i9n all the computers. We can find it at our personal computer, schools and in laboratories. This makes it easy for students to complete their work and can save their documents using a flash drive. You can take word documents with you and make changes.

One more benefit of using word is that it is easily integrated with other office soft wares. If any student have made a worksheet on excel, he can easily coop the entire data on word and can further work on it. This saves time and energy, as students and individuals can convert their files from one program to another program

It is easy for users to customize the documents by using word. Users can add, change and move toolbars o9n the screen menu. Users can also use formatting and other commands according to their desire, to make their documents more presentable.

While working and creating documents on word, users can easily make changes because of the automated options in word. While typing, if a user makes any mistake, word will underline it and correct it. This saves time and energy.
