Project check list

A project scope checklist is completed to make sure all the elements which make up a complete project scope are included. The first element in the checklist of a conference project scope is the definition of project objective which will address the basic questions like “when, what, how, and why” and acquire the pertinent information (McCabe et al, 2000).

Deliverables

The next component related to arrangement of the conference is the identification of major deliverables which will be produced from the very beginning to the end of the project. These deliverables further includes the identification of sub-project leaders for each aspect of the project, establishment of the schedule, securing the venue, identifying the presenters for the conference, establishment of group rates for travel (i.e. airfare and hotel etc.).

Following important deliverables are expected throughout the life of the project.

A memorandum needs to be distributed to all the attendees of the conference which will identify the venue where conference is taking place. If selected venue is changed once the memorandum is distributed, another memorandum will be required to update the attendees about the new venue.

Technical requirements related to conference

The third key element in the project scope checklist is the identification of all the technical requirements which will be needed to complete the project successfully. The virtual meeting of all the teams which are assigned different projects is necessary technical requirement. These teams need to meet each other, discuss the progress of their project and give each other valuable suggestions if they have any (Napier University, 2008).
