It is important for the organisations that data pertain to HR should be collected. The reason of such statement is that the primary mission of human resources in organization is to support the development policies of the organization helping to manage and maintain the original value of the human capital to the need for innovation and change. Organisations need HR data to do the following:

Coordinate activities of support staff;

Defines plans and actions for the adaptation of existing professional profiles related to the PTA and the evaluation/ development of skills;

Ensure the processing of salaries and other allowances of staff, as well as to liquidate their discounts;

Helps to improve the quality of life within the organizational initiatives through social welfare and organizational well-being;

Inform applications for grant of licenses and holidays;

Manages compliance relating to injuries for the entire organization;

Contributes to the management of industrial relations;

Manages databases, statistical and cost estimates of the staff for the expenditure estimates and the preparation of the budget;

Ensures the process of recruitment and selection of HR in line with regulatory restrictions in the policies and programming staff requirements established by the governing bodies of the organization;

Keep updated records of individual staff and carry out the operations necessary for the administration, promotion and recruitment;

Manages the implementation and management of the valuation models and encouragement of technical and administrative staff;

Manages the implementation of policies of organizational development of the organization;

Prepare procedures for awarding ratings service;

Provide the necessary data for social reporting;

To register attendance and seniority of staff;

Provides administrative management reports relating to research fellows and collaborators for research, technical and administrative.

In addition to this, organisations also need to collect HR for the legal requirement. For case in point, with the intention of making exact tax returns to the government then it is imperative for the organisation to have the collection of the data of every employee. Furthermore, for the purpose of payroll, personal information of employees also needs to be kept (Davis, 2006, 160-160).

Types of Data to be Collected

Sickness Records

Sickness record of the employees should be collected on periodic basis and analysed or compared with attendance records of every employee. The is comparison will facilitate the HR department in managing the attendance record of the organisation correctly and report to the concerned supervisors to take appropriate actions regarding the absence issue so that the problem can be tackled (Davis, 2006, 160-160).

Contact Details

Besides it, another type of data which can be valuable for the organisation's HR department is the contact details of the employees particularly the home addresses. This information is necessary as if the organization is required to send a correspondence to the employees, for instance, payslips, leave information or pensions and contracts etc. It is vital for the employees to get the proper communication and not to be ignored.
