Human Resource Development refers to the expansion of human capital within an organization and the processes involved in ensuring achievement of optimum performance management. Many organizations believe that it is vital for the employees of the organization to be completely satisfied with their work setting in order for them to perform well, which requires that their needs be fulfilled in terms of training, organization and career development. The integration of these within their solid set of skills used to enter an organization lead to key competencies that drive an organizations success from within. It is considered a constructive tool in improving individual as well as group effectiveness within an organization. In this paper, I will be exploring the reasons why HR needs to collect employee data as well as Learning and Development records within the organization Alhosn Gas.

Purpose of Data Collection

Human Resource and L&D needs to be collected so that the information system established within the organization can be used as a tool for further development in the future, strategy improvement and better decision making and competency. The data collected can be further utilized to describe the demographics, qualifications, size as well as distribution of the work forces working under organization goals. The collection of data is used for planning, managing and ultimately evaluating the employees and their steady performance.

Types of Data Collected

The type of data collected ranges from personnel data or employee information sheets. This is basic information of employees such as names, contact information, previous employment, languages, skills, nationality and so on. These assist the organization in Human Resource Development and decision making endeavours in the future.

Another type of data collected is Time and Attendance. In organizations such as Alhosn Gas, attendance and time management would be imperative for long term success. These records can thus help organizations decide on which of the employees need discipline and which are reliable. It also helps understand the employees work patterns.

Methods of Storing Data

Data can be stored by manual personnel information systems, which provides valid proof and authentic documentation. This is a system that may not be very reliable, is time consuming and easy to tamper with. Searching manually for documents will also make this method difficult to keep track of and analyze. It is not recommended in large corporations where employee listings go more than 10.

A safer and more easily managed data storing method is through computerization. An information system can be developed that allows the collection as well as transmission of data easily. The access to millions of documents is made invariably easy, not to mention less time consuming with less paper waste. If password protection methods are used, the data cannot be manipulated or be exposed to third party individuals.
