Letter to the program director

I am writing this letter to discuss about the program that is intended to be created with the purpose of having the people of a small community know and educate that how can they live environmental friendly lives. I have studied and analyzed the scenario of the community in which the program is to be implemented. Moreover, I have gone through the constraints of the program in terms of program budget and implementation time and the aims and objectives that you as the director of the program want to accomplish by carrying out this program.

Keeping in view all the circumstances, I recommend that despite of the fact that the program needs to be offered within the period of two months, a formal needs assessment must be carried out. It is worth noting that the program budget is small which is based on the funding the organisation received from the “Green Living Now” grant. The program budget needs to be allocated efficiently and effectively focusing precisely on the most important areas and crucial needs for two reasons. The primary reason is that the budget is small so there is no room for any wastage or redundant and unnecessary allocation of the resources. The second reason is that the granting agency wants to clearly see how the money has been used to make measurable changes in the community.

A formal needs assessment will help us to identify the needs regarding the program intended for environmental friendly lives. The program is aimed to provide practical information, hands-on practice, and ongoing support to participants so they can make decisions about reducing their energy use at home, producing their own food, reducing their reliance on personal vehicles, and building a greener neighbourhood. In order to focus on these intended results, it is important to identify the current state of the prospective participants. The formal needs assessment will help us to identify and comprehend the magnitude of the problem. It will facilitate us to know the level of understanding and education of the people in the targeted community. Once the level of the education and existing problem and practices is identified, we can tailor our program according to that.

The formal needs assessment will provide the best idea about the targeted community and their daily practices that is way of living. Owing to the small budget of the program we cannot carry out this program in a comprehensive way which takes into account all the aspects. Needs assessment will help us to narrow down our focus to the most significant and all encompassing aspects which will help us to accomplish the intended objectives of the program within the cost and time constraints.
