Effective Communications

Question: Does a successful internal communication system result in a motivation workforce?

Introduction

The effective internal communication is the key for organizational success. From external point of view, under today's business conditions it is very difficult to succeed by managers; the managers may need to build strategic alliance with other enterprises. Thus they can make best use of the scarce resources and only stress their own strength in the competition. In this case, it is essential to master communication and negotiation skills during cooperation. In a word, effective communication is a fundamental component of enterprise success whether it is at the interpersonal, intergroup, intergroup, organizational, or external levels. Also, it is the central task of management work (Sadri and Tran, 2002, 22-63).

Effective Internal Communication

Effective Internal Communication means a sharing of elements of behaviour, or modes of life, by the existence of sets of rules of sign usage. (Cherry, 1980) If people communicate with someone, they share or exchange information with others, for example by speaking, writing, or using equipment. Although as social animals, all of us have been communicating with others since our childhood, the process of transmitting information from an individual (or group) to another is a very complex process with many sources of potential error. It is critical to understand this process, be aware of the potential sources of errors and constantly rectify these tendencies by paying a conscious attention to make sure there is a minimal loss or error of meaning in the communication. From my point of view, effective communication refers to the process of information-sharing and -exchanging works well (which means with least error or loss during the information transmission process) and produces the results as intended (Sheridan, Slocum, 2007, 3).

With reference to management task, the paper would like to characterise 'effective communication' result in a motivation workforce as follows:

Firstly, one character of 'effective communication' is to communicate with impact. Communication is more than just passing on information; managers should add other features useful to their organizational and management task during their communication. The ability to communicate with impact is especially important in today's dynamic, economically challenged environment. Both managers and their executives need the power to make their audience, whether internal or external, for instance, their peers, employees, customers or other audiences understand clearly the message they want them to receive. Once senders communicate with impact, they can effectively have influence on receivers' thinking, behaviour or even their decisions. But communicate with impact is by no means as simple as imagined. As managers, people should learn how to carry out motivational communication. That is to say, managers must be clear about the intention of their speaking, writing or something like that. From hierarchical standpoint, they communicate with employees to make job instruction, job arrangement, organizational procedure and so forth. From organizational standpoint, they communicate in order to coordinate and harmonize different parts of the whole work group.
