Introduction

Email is one of the most popular forms of writing communication in this century. Social media and chat has changed the way some people write emails. People affected by social media usually write emails in a more unconventional manner. This lead to communication problems since the message may not effectively communicated.

Messages should be written keeping the audience in mind. Every reader may require a different style of writing depending on his level of understanding and skills. The tone of the message also varies from reader to reader. An incorrect tone will not be responded to. Therefore, messages should be communicated keeping the audience in mind.

Communication Problem in the Email

This email is very poorly written due to several reasons. The following are some of the problems in this email:

The subject line does not provide a clear subject. It only mentions 'Retirement Party' while it should mention who's retirement party is being held. An unclear subject line means that the reader might not be persuaded to read the message since it will not be of any interest.

The second problem is that the writer has addressed 'everyone'. This word is inappropriate since it includes an undefined number of people. Messages are always addressed to certain people therefore, the recipient should be clearly defined.

The letter does not contain the date when the letter was sent. This can lead to confusion in the later part of the message since it contains the words 'next month'. Therefore the recipient will not be sure whether the letter is still valid.

The date of the party is not mentioned in the letter. Any letter will be incomplete if it contains an invitation without the date of the event. Such messages lack clarity and completeness.

The location of 'City Café' is not mentioned. It should be mentioned since there may be more than one branch. This message will lead to confusion and hence, the recipient may not respond.

The writer is asking everyone to contribute but he does not mention the amount to be contributed neither does he mention when the amount will be collected.

The recipients are required to reply to the mail as soon as possible but are not informed about the deadline. Since there is no mention of any date in the entire message, readers will not have any idea as to when the letter was sent, the date of the party, or ...
