Answer 1:

There are several ways to fund the purchase of new or replacement items of medical equipment. Access to capital money is available if the individual item is in excess of £5000 (inclusive of vat), otherwise purchase will be through revenue

(including leasing & free issues), charitable funds or loans. Advice / approval for the choice of medical equipment will need to be obtained from a number of specialist individuals or committees within the Trust: a summary of these is given at paragraph.

Once the need has been identified for a piece of medical equipment and authorised by your DMT, parts 1 and 2 of the “medical equipment purchase request” form should be completed and posted to Supplies accompanied by a requisition. Assistance completing the form is available from MESD.

If maintenance is to be performed in house, funds will be transferred to the MESD Budget. If the work is to be completed by a third party, this code will be used when maintenance contracts are taken out.

Supplies will present all information to the Medical Equipment Purchasing Group on a monthly basis for consideration.

Referral to the Medical Equipment Group (MEG) will take place should the request be for a high cost/high risk item or if the purchase is a non standard product. MEG meetings take place at two month intervals.

The tender process will be followed if multiple units are likely to be purchased by the Trust and a purchase agreement will be drawn up with the chosen supplier.

It is possible the recommended product will differ from the preferred product. This could take place if there was already a purchase agreement in place for that type of equipment or if there was a Trust standard already in use.

All deliveries will be addressed to MESD to ensure correct delivery of goods against the order, that no damage has occurred in transit and to ensure entry onto the medical equipment management database allowing for the scheduling of maintenance.

MESD will arrange for the removal of any items listed as being replaced prior to the delivery of the new equipment to the ward or department.
